Before You Donate, Recycle or Sell Your Old Computer

When it comes to disposing of computers, there are three options available to you - donate, recycle or sell (never dispose of an old computer in a dumpster as it contains hazardous waste for a landfill). Identity theft has become such a focus of cyber criminals that disposing of your PC without taking steps to remove your data could be very risky.

There are four steps that can be very helpful in helping you to decide the best option for you:

Option #1:  Scrub the data off of your drive with a secure deletion program. There is a free program called 'Eraser' available for download at http://sourceforge.net/projects/eraser that is the best option to ensure the PC works when giving it to the next party. Eraser immediately overwrites the space with random characters.

Don't rely on the DELETE function in your computer's OS because it actually does NOT remove data. It only marks the space occupied as free and available for other data. This makes it very easy for a criminal to retrieve your data.

If you want to add another layer of protection, run the 'Disk Defragmenter' utility built into Windows after using Eraser. This is located in Accessories and System Tools.

Option #2: Securely wipe out the entire hard drive with programs such as Nuke or Dark's Boot. These utilities are free to download at http://sourceforge.net/projects/dban and are the best option for those interested in donating, selling or recycling the hardware only. Nuke and Boot does a much more thorough job then reformatting the hard drive. They conform to the Department of Defense data clearing and sanitizing standards and makes it impossible for anyone to get data off of the drive. You will be required to make a boot disk in order to use it.

Option #3: You can completely remove the hard drive from the computer and deal with the data at another time if you are not comfortable using the utilities listed above until you can find someone to do it for you.

Option #4: Take it to a reputable computer service outlet and let them erase the data for you. Some of the outlets will then donate your equipment for recycling or donate to an organization which has a need for equipment.

Why You Should Have Multiple Browsers

The Internet browser is one of the most fundamental software programs that we all use and several companies have browsers that they all want you to use. It is OK to have multiple browsers installed on your PC and it is a good idea to have at least two installed.

The current market share for the top browsers are Internet Explorer 60%, Firefox 23%, Chrome 7.5% and Safari at 5%. The reason you should have more than one browser is primarily because this software is one of the most targeted programs by those with malicious intent on the Internet. Once in awhile, there will be warnings regarding security problems with a browser and until the company comes up with a 'patch' for the problem you should switch to another browser.

A great reason for having another browser installed is for trouble shooting issues. If you are experiencing slow or no connection, switching to another browser can help track down the problem. If the second browser is slow or has no connection, then the problem is likely corruption or an infection in the browser.

Since Internet Explorer is the most commonly used, it is also the most targeted by cyber-criminals! Since Firefox continues to gain market share, it is being targeted more and more. Google's Chrome is a lightweight browser but is very fast but it can run into issues with obscure websites (foreign language or obscure programming code). Apple's Safari is also available for Windows but can have compatibility issues on occasion.

The amount of disk space that browsers consume is insignificant (10 to 30 mbs) so keeping them around doesn't hinder your space. There isn't a right or wrong answer as to which browser you should use. The user interface is different with each one so your comfort level with the functionality will have a lot to do with your choice.

Things You May Not Know About TOP

Many of our customers may not be aware that Total Order Plus has a 'User Appendix' manual, 'Online Help' manual and a 'TOP Intro" manual online on our support website www.mindwarecorp.com and can be accessed by clicking on 'Documentation' on the left side of the screen. These manuals contain numerous screens and instructions to help you with Windows issues, UnForm, UPS, Anzio Lite, Unix commands, End of Day and End of Month processing, how to use the TOP Report Writer, TOP menu commands, 'How To' reverse cash receipts payments, etc.

In this newsletter, we are publishing some of the  'TOP2000.q Features' that is convenient and saves a lot of input time.

  A/P Manual Payment Selection Entry (Click to Enlarge Images)

At the invoice number entry field, you can press the F1 key to display the next open invoice number for this vendor or you can enter an invoice number, type ALL to select all open invoices for payment or type ? to display open invoices for this vendor.

  A/P Manual Check Data Entry                                              

At the check number entry field, you can enter a check number or press the F1 key to automatically assign the next available check number out of check history. Can be used for transactions that do not have an assigned check number.

Note: To establish a starting check number, you need to first manually enter a number higher that your regular check number i.e. 9000001. Once the manual checks have been updated, the F1 key will assign the next highest available number from check history.

At the invoice number field, you can press the F1 key to display the next open invoice number for this vendor or enter an invoice number for payment.

Note: This feature can be useful for paying credit card accounts that are paid without a check (example, using ACH).

Question:
I would like to be able to look up the General Ledger account distribution I used when entering A/P invoices for a vendor without having to search through a lot of hardcopy or PDF files.

Answer:

In the new version of TOP2000.Q, you can access the Vendor Masterfile, select the vendor code and select Invoice History Display. You can press F1 to view all invoice G L account numbers or enter the invoice in question and press F1 key to display the G/L account numbers for that invoice.
