New TOP Online Help Manuals

There are three manuals now on our website that include Online Help with 'How To' on general accounting questions, Introduction to TOP on how to use the menu system, options menu, etc. and a User Appendix that has instructions for Unix and Windows questions and installation procedures.

Log on to www.mindwarecorp.com  -->  Click on Documentation  -->  Select one of the three listed above. The information was accumulated after several years of customer service questions from our clients. Hope you will find these manuals helpful for your daily accounting issues.

Email Reminder Sender

Total Order Plus users that have MailCall now have a new program to send email reminders to your customers for past dues invoices at any time during the month. There is a maintenance program that allows you to set up messages for each aging category on the A/R Definition Menu.


The Email Reminder Sender has been added to the Accounts Receivable System Menu. Below is the information necessary to generate the past due notices.

Note: You would have a To Email address only for testing purposes. It will get the email address from the customer contact file.

Windows 7 Operating System to be Released

 
Windows 7 OS is rumored to be released in October of 2009 and is being marketed as a much more secure operating system than Windows XP. Windows Vista has been proven to be a more secure operating system than Windows XP, so if Windows 7 is a reworked version of Windows Vista, then it would be worth considering if there is still another higher level of security against all of the malicious code floating around the Internet.

Those running Windows Vista can easily migrate to Windows 7 by doing an 'in-place' upgrade, which retains all of the programs, data, settings, favorites, etc., reducing the time to getting upgraded.

Users with Windows XP have tougher choices to make! Microsoft is not supporting any form of an 'in-place' upgrade to Windows 7, minimizing their support efforts. You will have two choices on how you want to upgrade:  wipe out everything and start from scratch or upgrade to Vista and then upgrade to Windows 7. Neither choice is easy and you would have to make sure all of your programs are compatible with Windows 7 or Vista, update drivers, service packs, printers and network settings and then restore all of your data.

If your computer is several years old, you may want to purchase a new PC with Vista and then contact Microsoft to see if your qualify for a free coupon upgrade to Windows 7.

Things You May Not Know About TOP

Many of our customers may not be aware that Total Order Plus has a 'User Appendix' manual online on our support website www.mindwarecorp.com and can be accessed by clicking on 'Documentation' on the left side of the screen. This manual contains numerous screens and instructions to help you with Windows issues, UnForm, UPS, Anzio Lite, Unix commands, End of Day and End of Month processing and how to use the TOP Report Writer.

In this month's newsletter, we are publishing the instructions for 'How to Map a Unix Drive':

Map the following drives:

R \\192.168.1.2\top (Used for UPS Interface)

S \\192.168.1.2\share

T \\192.168.1.2\top_text

U \\192.168.1.2\top_export

V \\192.168.1.2\top_import

W \\192.168.1.2\top_remote

Use Explorer to map the drives:

Right Click on the Start button ---> Select Explore ---> Select Tools on the Menu Bar

Select Map Network Drive ---> Select drive letter to map (i.e. Drive S for share drive)

Push Tab key to advance to the path field

Type the path of the Unix drive (i.e. \\192.168.1.2\share)

Note: If you need to connect as a different user and you are using

Windows XP, select Connect as different user, enter a valid TOP

name and password.

Check Reconnect at Login ---> Click OK

Note: You can also enter this net use command from the DOS prompt.

net use U: \\192.168.1.2\top_export

Disconnect a mapped drive:

Right Click on the Start button ---> Select Explore ---> Select Tools on the Menu Bar

Select Disconnect Network Drive ---> Select drive icon to disconnect

Note: To have access to a Unix file server, you must sign in on the Windows PC with a valid Unix user name and password.

The 'Tech Line'

Question:
I have applied a wrong amount to a customer's invoice(s) and would like to be able to reverse the payment. Do you have instructions on what I need to do?

Answer:

Enter a deposit date and a deposit code -->  Enter a negative deposit amount
Enter the customer code  -->  Enter check number Use REVERSE if check number is not known)
ABA number can be used as a memo field  -->  Enter debit cash amount as a negative amount
Enter the invoice number to reverse  --> Bypass the discount field if no discount was allowed
Enter the invoice(s) amount as a negative number  -->  Run the Cash Receipts Register and Update
