Things You May Not Know About TOP

Total Order Plus accumulates important data into your history files on a daily basis. The history files are of a dynamic, multi-keyed concept, which means they continue to grow in size as data is written to them. This also means that the hard drive capacity will continue to decrease in size as the data is updated. Users must be careful not to let the history files increase to such a large file size that purging or down sizing cannot be performed. The maximum file capacity of a standard BBx multi-keyed file is 2GB for the older versions of PRO5 Business Basic language.

TOP has added a new feature to the Order Entry Invoice Parameter screen concerning the purge. The field is Purge Period with an option to purge history for one month at a time or for an entire year. The purge will give you an option whether or not you want to retain the purged information. These saved files can be accessed in the O/E Invoice Batch Print on the Order Entry System Menu for future reference, if needed.

The purge programs for the history files are on the PM Options Menu:

Once the files have been purged, there is a utility program on the SU Options Menu - Reduce Dynamic File. This will read the current file information and write the records to a new file so when the utility is complete, the file will be the actual size and will no longer contain the space left by the purge.

Spammers and Virus Writers

There are a couple of trends that have surfaced lately with spammers and virus writers. A good antivirus program and some common sense will keep you from having any problems with them for the most part.

The first trend is a huge upswing in the number of spammers who are using PDF files to get past the anti-spam filters. The reason: since businesses use PDF files to transmit documents, emails with them attached won't get filtered. Since they don't get filtered, the spam gets through. And since the cost of sending out the garbage is so on a cost per email basis, it only takes a few people getting suckered in for the spammers to make a profit.

So why can't the spam filters recognize a spam PDF from a fake one? Well, they can -- but the switch to PDF files from images with the pump and dump scheme or the latest diet drug is fairly recent, so most antivirus programs haven't caught up with the spammers yet. Pump and dump schemes often occur on the Internet where it is common to see messages posted that urge readers to buy a stock quickly or to sell before the price goes down.

The other trend that seems to be showing up is the fake ECard -- the web-based electronic "postcards" that everyone seems to send on birthdays, holidays, etc. (at $3 a pop at the local Hallmark store, plus the hassle of having to buy stamps to send it, I can understand why people send them). You never actually receive the ecard; you have to visit the legitimate sites to pick up your card.

The virus folks are counting on the fact that most people don't really look at the URL of the link when they click on it. So what happens is two things. When the link is clicked, you have just verified your email address. While sending out spam isn't expensive, there are costs, like bandwidth, so if a spammer can make sure his message is getting delivered, that's a plus. Worse is that when you click on what looks like a legitimate link but isn't, you can wind up at a website that downloads software that will turn your computer into a zombie that sends out more of the spam itself. The bottom line: if you get email from someone you don't know or haven't given your address to, just delete it.

The 'Tech Line'

                    By Joanne Simmons

Question:

We are in the process of updating the prices on our inventory items by using the Item Change Utility on the UM Options Menu. However, we have hundreds of customers with contract prices that need to be changed as well. The Item Change Utility does not affect the item pricing. Do we have to change each individual contract price record?

Answer:

Total Order Plus now has a utility program to change contract prices in the same percentage method as the item pricing. It has also been added to the UM Options Menu.
